Responsibilities
  • Calendar and Meeting Coordination: Manage schedules and help orchestrate meetings - ensuring seamless communication and organization across multiple teams and departments.
  • Document and Report Preparation: Prepare and organize project folder documents, reports, and printing daily with accuracy and attention to detail.
  • Communication Management: Professionally manage and route all phone calls, emails, and correspondence, serving as a primary point of contact for potential customers, current customers, and internal employees with prompt, courteous, and effective communication.
  • Research and Project Support: Conduct thorough research to support various projects as directed by the Owner, Directors, and Office Manager.
  • Office Management: Efficiently oversee and maintain office supplies for multiple departments, ensuring consistent stock for operational needs, as well as food and beverage supplies, to support a seamless and productive workplace.
  • Design Studio Support: Provide in-office support for ElkStone’s Design Studio, with availability required Monday through Thursday all day and Friday until 2.
  • Multitasking and Prioritization: Thrive in a fast-paced environment by effectively managing multiple tasks and prioritizing responsibilities with ease.
  • Event and Volunteer Planning: Assist in organizing all company events, including parties and volunteer opportunities, to strengthen team engagement and community involvement.
  • Support for Office Manager: Partner closely with the Office Manager to prepare reports, conduct research, and fulfill additional directives from Owners and Directors, ensuring streamlined operations and exceptional efficiency.
  • Cross-Departmental Training: Participate in cross-training with other departments to provide seamless support during vacations or absences, enhancing team flexibility.
