JOB DESCRIPTION

The Receptionist & Administrative Support role is responsible for ensuring efficient front-desk operations, managing student services, and providing administrative support and excellent customer service to our students. This position plays a crucial role in welcoming students and visitors, managing daily school operations, and facilitating a well-organized and professional environment.

QUALIFICATIONS AND REQUIREMENTS

Skills and Competencies: Excellent customer service skills. Strong organizational and multitasking abilities. Excellent verbal and written communication skills. Ability to manage a reception desk and handle administrative tasks efficiently. Attention to detail and problem-solving skills. Ability to work effectively with students, staff, and external partners. Ability to handle complaints with empathy in a professional way. Ability to be resourceful and proactive when issues arise
Other Requirements: Bachelor’s degree in Administration, Business, or a related field (preferred). Previous experience in reception, administrative support, or student services (preferred). Familiarity with student management systems and office management tools. Eligibility to work full-time in Ireland. Fluent in English, second language is a plus.

Responsibilities
  • Front Desk & Communication Management: Manage info email account and respond to student inquiries. Greet and welcome students and visitors professionally. Direct visitors to appropriate offices or staff members. Answer, screen, and forward incoming phone calls. Provide accurate information in person, via phone, and email. Issue school-related letters, including enrollment, accommodation, and reference letters.
  • Administrative & Operational Support: Receive, sort, and distribute daily mail, deliveries, emails, and leads. Manage bookings for student accommodation and airport transportation. Ensure the reception area is clean, organized, and presentable. Maintain office security by following safety procedures and monitoring access. Provide school materials to students and issue service quotes when necessary.
  • Facility & Resource Management: Accompany service providers (electricians, maintenance workers) in the building. Maintain book control and ensure adequate inventory. Manage supply procurement for school needs, including office and cleaning supplies.
  • Attendance & Student Support: Print, distribute, and scan attendance lists daily for teachers. Maintain effective internal communication with other departments to support students. Assist in managing student payments, morning fees, exams, and book purchases. Provide support to the Director of Studies in student-related matters. Input student information onto the school system.
