Front Desk & Client Services

  • Greet clients warmly and professionally upon arrival.
  • Answer phone calls, respond to emails, and handle appointment scheduling.
  • Confirm appointments, process reschedules and cancellations.
  • Manage client intake forms and ensure accurate record-keeping.
  • Handle payments, issue receipts, and reconcile daily transactions.
  • Maintain cleanliness and organization of the front desk and waiting areas
  • Provide clients with basic information about treatments, promotions, and clinic policies.
  • Follow up with clients for post-treatment care calls and appointment reminders.

Administrative Support

  • Assign daily extra duties to aestheticians when down time. Follow up task done.
  • Report to Spa Management on progress
  • Coordinate with aestheticians and medical staff to ensure smooth treatment flow.
  • Assist with inventory checks and ordering of front desk supplies.
  • Monitor treatment room readiness and assist with light cleaning or restocking when needed.
  • Handle confidential client information following privacy regulations (e.g. PHIPA compliance).

Sales & Client Engagement

  • Promote service packages, seasonal offers, and retail products.
  • Upsell skincare products and educate clients on at-home care routines.
  • Maintain a client-first approach to foster loyalty and encourage repeat visits.

Social Media & Marketing Support

  • Create and schedule posts for Instagram, Facebook, and TikTok. Mailchimp. Create content using Canva
  • Take photos and short videos (as permitted) to showcase treatments, products, and client testimonials.
  • Respond to comments, DMs, and online inquiries in a timely, professional manner.
  • Collaborate with clinic management to plan monthly content calendars.
  • Stay updated on current trends and ensure content aligns with clinic branding and privacy standards.

Job Type: Part-time
Pay: $18.00-$22.00 per hour
Expected hours: 24 – 30 per week
