We are currently seeking a friendly and professional Receptionist to join the team at the Gerrards Cross office of Hine Solicitors. The successful candidate will be the first point of contact for all clients, visitors and staff at this busy office. They will help manage the front desk on a daily basis, and perform a variety of administrative tasks, ensuring the smooth running of the office and contributing to delivering an excellent client experience.
Responsibilities:
1. Greet and welcome guests as soon as they arrive at the office, ensuring they feel comfortable and valued.
2. Direct visitors to the appropriate person and office.
3. Answer, screen and forward incoming phone calls, taking accurate messages and providing information as necessary.
4. Ensure the reception area is tidy and presentable, with all necessary stationery and materials (e.g. pens, forms and brochures).
5. Receive, sort and distribute daily mail and deliveries.
6. Maintain office security by following safety procedures and controlling access via the reception desk.
7. Update calendars and schedule meetings as needed.
8. Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
9. Coordinate with legal staff, aiding in the preparation of legal documents as needed.
10. Maintain a professional, empathetic, and respectful demeanour towards clients, especially those who may be dealing with stressful legal situations.
Qualifications:
1. Professional attitude and appearance.
2. Excellent written and verbal communication skills.
3. Hands-on experience with office equipment (e.g. shredding machines, franking machines and printers).
4. Ability to be resourceful and proactive when issues arise.
5. Excellent organisational skills.
6. Customer service attitude with the ability to interact with clients in a respectful and friendly manner.
7. Proven work experience as a Receptionist, Front Office Representative or similar role.

Job Type: Part-Time. We are looking for someone to cover Monday to Wednesday 9.00 to 17:30. Additional hours to cover absences at both the Gerrards Cross and Beaconsfield offices may occur from time to time.
