As a multidisciplinary team we provide an extensive range of high quality, evidence-based assessments, therapy, and support to our clients including Occupational Therapy, Speech Pathology, Psychology and Behavioural Support, as well as services in autism and disability. Job Description As the Receptionist for our Bella Vista 'Sky' clinic, you will provide reception and administrative services that ensure well-organised and effective intake, booking, completion and payment for services delivered, and efficient daily operations at our clinic. You will also be required to exercise and apply independent professional judgement in solving problems and managing cases where principles, procedures, techniques, and methods require expansion, adaptation, or modification. Your responsibilities will include (but not be limited to): Answering phones, responding to questions and completing follow up tasks as required Responding to enquiries via phone and email Completing intake information gathering and data entry into our Client Management System (CMS) Maintaining up-to-date and accurate details in our CMS Greeting clients and managing client needs in clinic Scheduling for each therapist's diary including face to face appointment bookings, managing rescheduling and cancellations Taking payment from clients in person and over the phone Processing payments in our invoicing system and completing daily banking documentation Preparing reports for the Clinic Manager as directed Managing unhappy clients and complaints in a professional and polite manner To be considered suitable you will have: experience working on reception in a busy health services related setting, preferably for a provider of therapy and supports to clients with funding through the National Disability Insurance Scheme (NDIS) a professional and confident phone manner exceptional interpersonal skills for communicating with all internal and external stakeholders, especially clients, whether it be via person or phone or email well-established data entry skills demonstrated high level of organisational and time management skills a current driver's licence and access to a reliable vehicle to use for work purposes when required Qualifications Diploma level qualifications in Business administration or similar will be viewed favourably, in addition to meeting the requirements outlined above Additional Information Real Therapy Solutions (RTS) is a multidisciplinary team of Occupational Therapists, Psychologists, Speech Pathologists and Behaviour Support Practitioners who provide holistic therapy from multidisciplinary clinics across Sydney and the Illawarra.
