For over 65 years, RBK has provided accounting, audit and taxation services to domestic and overseas business in Ireland. We have grown from a relatively small, regional practice to Ireland’s leading independently branded Accountancy Firm, with offices in Dublin, Athlone and Roscommon. In May 2025, RBK Chartered Accountants announced further expansion with the merger of two accountancy practices in Castlebar, Co. Mayo.
We currently have an exciting opportunity for a Receptionist/Administrator to support the administration of our two Castlebar offices.

KEY REQUIREMENTS

  • Previous experience working in a reception/office environment is desired.
  • Experience working within a professional services environment would be an advantage.
  • The ability to collaborate with co-workers, clients, and suppliers.
  • Working knowledge of MS Office suite and Zoom.
  • A confident, pleasant and friendly communicator, capable of performing in a multi reporting environment.
  • A team player, who is flexible and reliable.
  • Confidentiality is an important part of the role.
Responsibilities

This role is ideal for someone who is organised, approachable and adaptable, with a passion for providing excellent front of house support. Reporting to the Partner in charge and Head of Administration, responsibilities will include;

  • Manage reception phone (Zoom), screening and forwarding calls.
  • Welcome visitors and clients in a friendly and professional manner.
  • Maintain a tidy and welcoming reception area.
  • Booking meeting rooms and organising catering for same.
  • Using DocuWare to scan in post-in and post-out.
  • Coordinating office activities and operations to ensure efficiency and compliance to company policies and to ensure the smooth running of administrative processes such as document management, office procedures, health & safety, voicemail management, etc.
  • Managing client correspondence (e-mail, letters, post, packages etc.)
  • Perform a variety of administrative tasks such as data entry, filing, scanning, and photocopying, while maintaining strict client confidentiality.
  • Track and send reminders to both Castlebar offices of the relevant statutory filing deadlines.
  • Assisting various teams and the Partners during any onsite/off-site meetings (catering, refreshments, meeting rooms, overnight accommodation booking etc)
  • Maintaining office supplies, refreshments and equipment, ensuring smooth operations.
  • Flexibility in dealing with any additional administrative tasks that arise.
  • RBK is currently maintaining two office locations within Castlebar, however will be integrating to one office location within the next six to twelve months. In the interim, the role will require the employee to work across the two office locations. The days and locations will be discussed as part of the interview process.
  • Liaising regularly with the Head of Administration to ensure consistency in application of administrative processes across all offices.
  • Liaising regularly with Facilities to ensure the smooth running of all office facilities.
  • General administration support to Partners and staff.
