ROLE HIGHLIGHTS:

WHAT WILL YOU DO IN THIS ROLE?

You will serve as a key point of contact, playing a vital role in creating a positive impression for all customers and visitors, in collaboration with our other Receptionist. You will work closely with our Executive Assistant Team and other functions to provide a wide range of essential administrative tasks, contributing to the smooth and efficient running of daily operations.
Your primary responsibilities include greeting and directing visitors, managing the visitor and event register, and ensuring a professional and inviting atmosphere. You will also manage meeting room calendars and make meeting and event arrangements, including catering duties. In addition, you will assist with equipment organization and ensure the reception area is clean and welcoming. You will also play a crucial role in enhancing security by verifying the identity of visitors and notifying security personnel of any suspicious activity. You are also responsible for monitoring, maintaining, and ordering office and catering supplies and equipment.
The ideal candidate is a highly organized, proactive, and friendly individual who can handle multiple tasks with a positive attitude, strong people, and problem-solving skills. Excellent communication skills, a pleasant demeanor, and a professional attitude are essential for success in this role, as you will directly impact customer satisfaction and help maintain a positive business image.

YOUR DAILY TASKS WILL INCLUDE, AMONG OTHER THINGS:

  • Warmly greet and welcome visitors, clients, and vendors, and direct them to the appropriate person or meeting room, and managing the visitor and event register.
  • Managing meeting room calendars and coordinating meeting and event arrangements, including catering duties and room setup
  • Managing office and catering supplies, including inventory, ordering, and ensuring the reception and common areas are consistently well-stocked and tidy.
  • Handling mail, deliveries, and packages sent to or from the office
  • Providing administrative support to the Executive Assistant team with ad-hoc requests and assisting with special projects assigned

WHAT WILL YOU NEED TO BE SUCCESSFUL IN THIS ROLE?

  • Prior experience in a receptionist, administrative, or similar customer-facing role
  • A strong passion for delivering great internal and external customer service with a friendly and professional demeanor
  • Exceptional organizational and time-management skills, with a keen eye for detail and the ability to effectively multitask
  • Exceptional verbal and written communication skills in English and proficiency in Finnish with a professional and friendly demeanor. A proactive, resourceful, and problem-solving mindset
  • Discretion and the ability to prioritize tasks efficiently
