JOB DESCRIPTION

We are seeking a friendly, organized, and detail-oriented Receptionist and Appointment Coordinator to join our team. The ideal candidate will be the first point of contact for our clients, providing excellent customer service both in-person and over the phone. This role involves managing the front desk, handling administrative tasks, and efficiently coordinating appointments.
Onsite: Weekends
Remote Working: Weekdays

QUALIFICATIONS:

  • High school diploma or equivalent; additional education or certification in office administration is a plus
  • Proven experience as a receptionist, front office representative, or similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Familiarity with office equipment
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Professional attitude and appearance
  • Customer service orientation and problem-solving skills
  • Ability to handle sensitive information with confidentiality.

PREFERRED SKILLS:

  • Experience with scheduling software or appointment management systems
  • Experience in EPIC is advantageous
  • Ability to work independently and as part of a team.
    Job Type: Temporary
    Contract length: 6 months
    Pay: Up to £200.00 per day

Responsibilities
  • Greet clients and visitors with a positive, helpful attitude.
  • Answer and direct phone calls in a polite and friendly manner
  • Assist patients in person, over the phone, and via email with inquiries about services, scheduling, and other concerns
  • Schedule and confirm appointments, ensuring optimal use of the hospital’s time and resources
  • Maintain an organized and clean reception area
  • Process and manage incoming and outgoing mail
  • Coordinate with other departments to ensure smooth communication and operations
  • Act as chaperone if required, ensuring patient’s comfort and support
  • Update and maintain patient’s records and databases with accuracy
  • Assist with administrative tasks and projects as needed.
