Join our dynamic team at Bostico International, where we pride ourselves on providing exceptional service and a welcoming environment for clients and staff alike. We are currently seeking a professional and friendly Office Receptionist to also assist our In-House Notary Public.

POSITION OVERVIEW:

As an Office Receptionist and Assistant to the Notary Public, you will be the first point of contact for our clients and visitors. You will play a crucial role in managing daily office operations and supporting our Notary Public with administrative tasks. The ideal candidate is organized, detail-oriented, and possesses excellent communication skills.

QUALIFICATIONS:

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Previous experience as a receptionist or in a similar administrative role is desirable.
  • Familiarity with notary procedures and legal documents is advantageous but not required.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to multitask and prioritize tasks effectively.
  • Capable of working independently and as part of a team.
  • High attention to detail and problem-solving skills.

Responsibilities

KEY RESPONSIBILITIES:

  • Greet and welcome visitors, clients, and staff in a warm and courteous manner.
  • Answer and direct phone calls, taking messages as necessary.
  • Schedule and manage appointments, including coordinating notary services.
  • Assist the Notary Public with documentation and preparation of legal documents.
  • Maintain a clean and organized reception area and office.
  • Handle incoming and outgoing mail, deliveries, and office supplies.
  • Perform general administrative tasks such as filing, photocopying, and data entry.
  • Facilitate communication between departments and external clients.
