SKILLS & EXPERIENCE

  • Possession of a valid driver’s license is highly desirable but not essential.
  • Previous experience in a receptionist, front-of-house, or office administrator role—ideally in a fast-paced, professional setting.
  • Excellent interpersonal and communication skills, with a confident, clear, and professional telephone manner.
  • Strong organisational and multitasking abilities, with the capacity to manage competing priorities effectively.
  • IT literate, with solid working knowledge of Microsoft Office applications (Outlook, Word, Excel) and the ability to quickly learn internal systems.
  • Ability to work independently and as part of a team, using initiative to solve problems and support colleagues.

ABOUT THE ROLE

We are seeking a proactive, detail-oriented Receptionist to join our dynamic team at our Sale, M33 office. This is a vital role in supporting the smooth day-to-day running of a fast-paced office, ensuring a professional and welcoming experience for both staff and visitors.

KEY RESPONSIBILITIES

  • Act as the first point of contact for all visitors, clients, and contractors—offering a warm, professional welcome and ensuring a positive first impression of the business.
  • Support a team of managers with ad-hoc administrative tasks as required.
  • Provide administrative support across multiple departments, maintaining accuracy, confidentiality, and attention to detail.
  • Handle all incoming and outgoing mail and packages, including opening and distributing post to relevant departments.
  • Manage office supplies, including ordering and maintaining inventory of stationery, kitchen stock, and general office items.
  • Answer overflow calls during busy periods, ensuring queries are handled efficiently and directed appropriately.
  • Coordinate meeting room bookings, ensuring rooms are tidy, stocked with necessary materials, and prepared ahead of appointments.
  • Greet and assist guests, including providing refreshments and ensuring they are comfortable during their visit.
  • Ensure communal areas, including reception, meeting rooms, and kitchen, are kept tidy, clean, and presentable at all times.
  • Help coordinate internal events or meetings, including refreshments, room setup, and logistics.
  • Maintain internal records and logs, including visitor sign-in sheets, post tracking.
  • Act as Fire Marshal for the office—ensuring evacuation procedures are followed, headcounts are accurate, and fire safety responsibilities are upheld in line with company policy and legal standards.
  • Promote and uphold a professional, friendly, and proactive office culture aligned with the company’s values and behaviours.
  • Provide occasional support to Office Manager, Operations, or HR teams during key projects or busy periods.
