Part-Time Receptionist – Kingswood
We are looking for a Receptionist to join our busy Reception team in Kingswood. This role is part-time, working Monday – Wednesday.
Our centralised team of Receptionists take all incoming enquiries via our firm switchboard system and distribute these accordingly within the firm whilst supporting the Facilities department and welcoming visitors to our offices. This role promises to be very varied and, at times, can be demanding, so the ability to work under pressure is essential.
The role

You will:

  • Greet all visitors, staff and clients on entry to the premises.
  • Answer calls promptly and professionally, and transfer them to the relevant department using the firm’s switchboard system, and taking short messages where necessary.
  • Inform the relevant staff member of the visitor’s arrival.
  • Ensure visitors sign in and out of the visitor’s book.
  • Ensure that the reception area, waiting area and meeting rooms are clean, tidy and presentable.
  • Ensure refreshments are stocked and ready for use.
  • Request and copy ID from new clients and scan them onto the system.

In addition to the above, this role holds some banking and postal responsibilities, such as:

  • Ensuring all monies received are recorded in the appropriate entry book and paid promptly.
  • Producing a posting slip for the monies and providing a copy for the file.
  • Being responsible for petty cash and ensuring appropriate records are maintained.
  • Ensuring outgoing cheques are printed on the correct account and a report is sent to our Accounts department following each cheque run.
  • Opening, dating and passing on incoming post.
  • Recording hand-deliveries and distributing accordingly.
  • Franking outgoing post and dispatching at the Post Office (unless collected).

Training will be given on all the tasks that Receptionists are expected to carry out.

The ideal candidate

Our ideal candidate will:

  • Have recent experience of working in a busy reception role, preferably within a law firm.
  • Be presentable and have a professional approach as the first point of contact for clients
  • Be computer literate with experience using Word and Outlook.
  • Hold GCSE’s in Maths and English – Grade 4 minimum (or equivalent)

Location and working hours

  • Part-time, Monday – Wednesday, (office hours are 9am – 5.15pm, Monday to Friday).
  • This role is based at our Kingswood office.
