Responsibilities

THE ROLE:

A Corporate Receptionist’s responsibilities include delivering customer-centric service when welcoming clients and visitors, as well as managing the company’s telephone system and scheduling of meeting spaces efficiently.

  • Working hours: 7:30am - 4:00pm

DUTIES AND RESPONSIBILITIES:

  • Act as the main point of contact on Level 18 in regard to meeting and greeting clients and BDO staff
  • Concierge duties to guide visitors and employees to relevant meeting rooms
  • Effective and professional operation of the Firm’s telephone system (via MSTeams)
  • Review Meeting Room Manager (CONDECO) system and ensure rooms are set-up, water and glasses are supplied in meeting room prior to the commencement of each external meeting
  • Sort all incoming mail and notify when the mail is ready for collection
  • Frank and prepare all out bound mail
  • Manage all in-bound and out-bound couriers
  • Distribution of inbound faxes to relevant partner/employee
  • Manage and update all reception documents in the appropriate document management system
  • Assisting the Catering and Events Team to help set up for meetings/functions, including the rearrangement of furniture when required
  • Ensure the reception area is always tidy and clean and that all meeting rooms are ready for the next meeting. Walk floor regularly throughout the day to ensure the floor is professionally presented
  • Assist with AV set-ups in the meeting rooms
  • Assist with in-house functions (i.e. Birthdays cakes and other adhoc events)
  • Support the wider Melbourne office with ad-hoc administration duties as required
  • Management of the BDO visitor security cards
  • Provide ad-hoc assistance when required for the Hub area to be to re-stocked (i.e. replenish the milk, coffee consumables, dry goods, biscuits and fruit)
  • Assist when required in managing and advising Firm’s catering supplier’s staff prior and on the day of the event in the setup, during and pack down of all in-house events
  • Assist when required to clean the coffee machines daily in the hub area and in the main kitchen
  • When required, the dishwashers in the hub area must be stacked and turned on throughout the day
  • Coordinate with Marketing/EA/PA team on events, organize the catering, beverages, and clean-up
  • Lodge Building Tenant Portal requests as required
  • Supervise and training of temps when required
