PURPOSE OF JOB Provides administrative support to the Shared Services, Property & Casualty (P&C), and Group Insurance Services (GIS) divisions. Responsibilities include managing mainline telephone inquiries, coordinating courier and mail services, procuring office supplies, and liaising with third-party vendors to ensure smooth day-to-day operations. JOB RESPONSIBILITIES Coordinate courier services, including procuring bank drafts, arranging hand deliveries, broker packages, mail pickups, and receiving cargo shipments. Manage all mail services by preparing outgoing correspondence, monthly statements, and packages, as well as distributing incoming mail. Maintain and replenish office supplies, coffee stations, and water coolers to ensure a well-stocked and organized workspace. Track and manage inventory of office supplies, marketing materials, promotional items, and corporate gifts. Answer and direct incoming calls via the main switchboard to the appropriate departments or individuals. Welcome and register walk-in clients and visitors, process and reconcile customer payments. Provide administrative support to Shared Services, Property & Casualty (P&C), and Group Insurance Services (GIS), including receipting and document handling. Liaise with building maintenance and service personnel to resolve office-related issues promptly. File, scan, and upload policy documents accurately into the P&C and GIS systems. Contact clients by phone and email regarding upcoming renewals and unrenewed policies to ensure timely follow-up. Perform other duties and responsibilities that may be assigned from time to time. High school diploma or higher in a related field Minimum of three (3) years of experience in a Receptionist or Administrative role. Proficient in Microsoft Windows and Office applications. Demonstrated ability to maintain confidentiality with professionalism and discretion. Consistently presents a professional appearance and demeanor. Excellent verbal and written communication skills. Self-motivated with the ability to manage multiple tasks efficiently while maintaining strong attention to detail. Exceptional organizational and time management skills. Collaborative team player with a positive attitude, strong interpersonal skills, and a solid work ethic.
