CGI is currently seeking a Receptionist to provide administrative support. This outstanding opportunity will allow you to work collaboratively with an experienced team while also learning about CGIs operations/business.
The ideal candidate for this position will have a high level of energy, decorum and discretion that is second to none. You will have experience in a fast-paced professional consulting environment that uses your understanding of both technical and business vocabulary in order to support leaders, members, and multiple business areas. You will be able to effectively navigate and manage complex and time-sensitive/urgent situations and have a tolerance for ambiguity. You are adept at working effectively with a wide variety of people inside and outside the organization. Finally, as the ideal candidate, you will have a positive and agile approach to keeping the environment organized and the team you support productive.

Responsibilities

YOUR FUTURE DUTIES AND RESPONSIBILITIES

  • Schedule internal and external meetings, providing proactive and real-time calendar management
  • Screen requests to determine priority level, including visitors, phone calls, and incoming correspondence. Gather, compile, verify, and analyze information for the executive’s use in documents such as memos, letters, reports, speeches, presentations, and news releases.
  • Facilitate smooth communications between the executive and coworkers and between the executive and external parties such as customers, media, and the public.
  • Handle external requests with tact and diplomacy
  • Maintain administrative procedures, including business mail, travel arrangements, expense reports, authorizations and approvals, etc. in line with CGI policies and procedures

Event Co-ordination:

  • Assist with the planning, co-ordination, organization of all requirements of large scale events, conferences and executive team activities
  • Assist with preparation of multi-media presentation material, collateral and theme strategies using MS PowerPoint, MS Word and MS Excel
  • Create planning documents and collaborate closely with specific partners, vendors or suppliers
  • Handle timeframes and budget related requirements
  • Participate in special project assignments on an as-required basis
