Description

We are seeking a Receptionist/Customer Service Associate. The right candidate will be someone who has a positive outlook, is client-centered, production focused and a team player having the self-drive to make a meaningful contribution. This position requires an excellent command of English both written and spoken.
This position will be a first point of contact for clients. The candidate needs to be to provide a high level of excellence in customer service, be able to drive in the retention of new clients, and manage activities involving the front desk. The ideal candidate will also be computer savvy, able to work in a busy fast paced environment and is able to multi-task.

Duties include:

  • Respond to telephone, e-mail, and in-person inquiries from clients, business partners, and other parties.
  • Endeavour to retain new client enquiries
  • Refer all inquiries to the appropriate individuals, divisions, or departments across the organization.
  • Take and record telephone, e-mail, or written message for staff members.
  • General administrative tasks as needed, including letters, forms, filing and reports as necessary.
  • Assist other staff where necessary.
  • Arrange and book meetings in boardrooms for lawyers.
  • Present a positive and professional image of the organization to all clients, visitors and other interactions.
  • Ensure all required forms are completed as needed during client visits.
  • Observe and report any security issues to the Office Manager.
  • Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
  • Maintain the reception and waiting area in a tidy and presentable manner.
  • Any other tasks that may be needed from time to time.

Qualifications

  • A High School diploma or equivalency (e.g. GED)
  • 1 year of reception/administrative experience
