We are seeking a proactive, detail-oriented Receptionist/Executive Assistant to join our team. This entry-level role is the heartbeat of our office, serving as the first point of contact for employees and guests while providing essential administrative support to our leadership team. The ideal candidate is a natural problem-solver who enjoys a fast-paced environment and takes pride in maintaining a seamless office experience. The role is based in Stamford, CT and reports to the VP of Operations. KEY RESPONSIBILITIES: Front Office & Hospitality Guest Relations: Act as the primary point of contact for all employees and visitors, providing a warm, professional greeting and departure experience. Communication Management: Professionally manage incoming calls, relaying detailed messages promptly and accurately. Operational Support: Assist the Operations team with daily departmental tasks and resolve internal requests through our ticketing system with a high level of customer service. Office Guidance: Act as a resource for employees regarding office protocols, including the use of shared spaces and the conference room booking system. Office Operations & Logistics Workspace Readiness: Coordinate with IT and Post-Production teams to prepare workstations for new hires; this includes moving office furniture and ensuring building access is ready prior to start dates. Beverage & Kitchen Management: Monitor and maintain office cold brew kegs daily. This includes performing level checks and physically changing kegs as needed to ensure consistent service. Facilities Maintenance: Maintain the cleanliness and organization of the kitchen and supply rooms. This includes managing coffee machines, tidying conference rooms after use, and ensuring common areas remain professional. Inventory Management: Utilize our inventory system to track and order office and kitchen supplies, ensuring the office is consistently stocked and organized. Administrative & Executive Support Executive Calendar Management: Maintain calendars for multiple executives, scheduling appointments across various time zones and locations with a proactive approach to shifting priorities. Expense & File Management: Maintain meticulous records of all departmental charges. This includes collecting receipts, following specific naming conventions for digital files, and ensuring all documentation is promptly organized within Google Drive. Departmental Assistance: Provide administrative support to four department heads, including scheduling and the reconciliation of monthly expense reports. QUALIFICATIONS: ● Polished front office appearance and manner ● MAC proficiency; solid skills in Google Mail, Google Docs, Google Calendar, and Excel ● Strong written and verbal communication skills; ability to establish rapport quickly ● Ability to multitask; excellent follow-through ● Ability to lift and carry up to 50 pounds ● Professionalism, punctuality, and reliability; enthusiasm to learn a variety of new things ● Ability to maintain a calm demeanor in the midst of multiple shifting priorities ● Minimum of 1 year receptionist and/or office experience (preferably within the entertainment industry) ● Associate or bachelor’s degree preferred COMPENSATION & BENEFITS: The pay range for this role is $21.00 - $24.00 per hour. The base pay offered may vary depending on multiple individualized factors, which may include office location, education, skills, and experience. This position is also eligible for our All Staff Bonus Plan, subject to the rules of the plan.
