Job Description
Scope of Position
The Receptionist is the first point of interaction in handling incoming calls and providing exceptional customer services to visitors at all times. Control and ensuring visibility on everything related to incoming calls and visitors in a reliable manner. The receptionist is responsible in performing other administrative activities related to Administration and Accounting, achieving an efficient productivity and promoting Expeditors culture at all times.

TO BE THE MOST EFFECTIVE IN THIS POSITION WE ARE LOOKING FOR THE FOLLOWING SKILLS AND EXPERIENCE:

  • High School Diploma or equivalent, preferred
  • 1-2 years of experience in administrative and receptionist functions.
  • Accounting knowledge.
  • Interpersonal and communication skills, ability to communicate at all levels written and oral communication.
  • Exhibit exceptional l customer service at all levels.
  • Organizational and time management skills
  • Attention to detail.
  • Ability to multitask.
  • Ability to complete work within standard procedures, guidelines and office policies.
  • Self-driven personality.
  • Basic computer skills.
  • Hands-on user skills with Expeditors’ applications as needed.
  • English and Spanish fluency.
  • Commitment to exemplify Expeditors’ culture at all times.

Responsibilities:

  • Guide and support visitors in a friendly and professional manner.
  • Ensure that company controls, policies, procedures, processes, applications, tools, and systems are understood and utilized.
  • Apply the phone etiquette at all times.
  • Take accurate messages
  • Transfer calls properly
  • Maintain a visitor log for security
  • Greet all visitors in a helpful, friendly and professional manner.
  • Be the role model of integrity and pride for all employees.
  • Support Administration and Accounting operations including:
  • Invoice registration in Accounting system.
  • Prepare account statements of suppliers and clients.
  • Apply security protocol and guide visitors to apply it at all times.
  • Participate in the Administration/Accounting team on initiatives and projects.
  • Escalate problems or concerns to Administration Supervisor, Accounting Supervisor and Manager, and/or Operations Manager and DM as necessary.
