GENERAL DUTIES Greets and welcomes patients, staff, and visitors in a professional, warm and friendly manner. Directs visitors to the appropriate personnel and department/office. Promptly informs the supervisor/manager of the arrival of any regulatory agency and instructs agency representatives to remain in the front office until the designated LCMC staff member accompanies the representative to the appropriate area. Ensures front office is tidy and clean. Maintains front office security by following safety procedures and controlling access. Answers, screens and routes incoming phone calls to appropriate team member in a timely and professional manner. Schedules internal conference room meetings, by responding to and evaluating requests, monitoring conflicts, and avoiding overbooking. Schedules external conference center events, including processing online requests, contracts and payments. Coordinates logistics for internal and external conference room events, including arranging room set-up with Event management, partition opening/closing with Facilities, AV needs with IT, parking with Hospital Public Safety and catering with Food Services. Maintains floor stock beverages for the front office refrigerator and orders office supplies, as needed. Distributes parking vouchers to guests as per hospital protocol or guidelines. Performs other routine clerical duties such as filing, photocopying, and faxing as needed. Contributes to team effort by offering to assist others, recommending changes to improve productivity and performs other duties as assigned. MINIMUM QUALIFICATIONS Required: High School Diploma/GED or equivalent OR 2 years of work experience. Preferred: 6 months of work experience as a receptionist. KNOWLEDGE, SKILLS, AND ABILITIES Excellent communication and hospitality skills. Ability to handle confidential information in a professional manner. Ability to multitask and handle stressful situations. Working knowledge of EPIC and MS Office applications. REPORTING RELATIONSHIPS Does this position formally supervise employees?
