Description Hinman, Howard & Kattell, LLP is seeking a highly professional and detail-oriented receptionist to join our home office location in Binghamton, NY. This position serves as the first point of contact for clients, visitors, and callers, and is integral to maintaining the professionalism and efficiency of the firm’s daily operations. The ideal candidate will demonstrate strong administrative capabilities, sound judgment, and a commitment to delivering exceptional client service in a legal environment. Primary Responsibilities: Professionally greet clients, visitors, and vendors, ensuring a welcoming and courteous office environment Operate and manage a multi-line telephone system, including screening and directing calls in a timely and appropriate manner Accurately record and relay telephone messages to attorneys and staff Coordinate and schedule conference rooms for attorneys and staff, including creating the daily building manifest Maintain and monitor conference room and vehicle calendars, including tracking deadlines and scheduling priorities Perform client intake functions, including conflict checks and opening new matters within the firm’s billing and case management systems Scan, organize, and maintain documents in the firm’s document management system in accordance with established protocols when needed Respond to general inquiries and route requests to appropriate personnel Provide administrative and clerical support to attorneys and staff, as needed Qualifications: Prior receptionist or administrative experience in a professional office environment required; law firm experience preferred Excellent verbal and written communication skills, with a high degree of professionalism and discretion Strong organizational skills and attention to detail, with the ability to manage competing priorities effectively Proficiency in Microsoft Office Suite, including Word and Excel Demonstrated ability to work independently and collaboratively within a team-oriented environment Typing proficiency of 50+ words per minute preferred Reliable transportation and consistent attendance required Professional Attributes: Client-service oriented with a polished and professional demeanor Ability to maintain confidentiality and handle sensitive information appropriately Strong interpersonal skills and the ability to interact effectively with attorneys, staff, and clients
