The Front Desk/Human Resources Assistant serves as the first point of contact for visitors and employees, providing exceptional customer service while supporting the daily administrative and human resources functions of the organization. This dual-role position ensures smooth front office operations and contributes to HR initiatives that strengthen employee engagement and organizational efficiency. The role includes greeting and assisting visitors, maintaining an organized and professional office environment, and supporting HR processes such as onboarding, recordkeeping, and employee engagement activities. The ideal candidate is detail-oriented, highly organized, and demonstrates professionalism, discretion, and strong interpersonal skills. They thrive in a collaborative environment, balancing administrative precision with a welcoming, service-focused approach. Key Responsibilities and Accountabilities Greet and welcome visitors in a professional and friendly manner. Screen and forward voicemail messages accurately. Maintain a clean, organized, and welcoming reception area. Receive, sort, and distribute mail and deliveries. Support administrative tasks such as data entry, filing, and document management. Coordinate office supplies and maintain inventory. Handle inquiries from clients, vendors, and the public. Provide administrative support to the HR department and respond to general HR-related employee questions. Prepare HR reports and assist with audits as needed. Maintain accurate and up-to-date employee records in HR systems and personnel files. Assist in organizing employee engagement activities, training sessions, and recognition programs. Collaborate with other departments to support overall office operations as needed. Skills / Qualifications High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred. Proven experience as a receptionist, front desk representative, HR assistant, or similar role. 1–2 years of HR-related experience preferred. Strong organizational and time management skills. Exceptional attention to detail and ability to handle confidential information with discretion. Proficiency in Microsoft Office Suite (Word, Excel, Outlook); HRIS experience a plus. Effective written and verbal communication skills. Ability to work both independently and collaboratively in a team environment. Willingness to learn and adapt to new technologies and processes. Highly collaborative team player with a proven track record of partnering with others to achieve objectives. Strong customer-service orientation with an “in-service” mindset.
