POSITION SUMMARY

The Receptionist will serve visitors by greeting, welcoming, and directing them appropriately; notify company personnel of visitor arrival; maintain security and telecommunications system. They will also be involved in other duties as required by the department of company.

REQUIREMENTS:

  • Able to work independently and as a part of a team.
  • Able to multi-task and complete work on time under pressure.
  • Able to work in a fast-paced environment.
  • Strong communication skills, both written and oral.
  • Excellent organizational and analytical skills.
  • Good phone etiquette and customer service skills.
  • Must be proficient with MS Office applications, word, excel and outlook.
  • Previous experience of 2-3 years in the construction industry in an asset.

SPECIAL REQUIREMENTS/UNIQUE ASPECTS OF JOB:

Physical Exertion:Administration staff is required to sit for long periods of time and work with computer programs and data bases.
Equipment:Photocopier, telephone, computer, printer etc.

Responsibilities
  • Promptly answer telephone in a warm and inviting manner.
  • Operate a multi-line telephone system, transferring calls to appropriate sales representative or departments.
  • Respond to emails in a timely manner.
  • Manage daily outgoing courier requirements.
  • Open and distribute mail.
  • Invoicing and organizing Purchase Orders.
  • Copy/create documents for different departments.
  • Assist Truss Scheduler and Production/Sales Support as required.
  • Welcome on-site customers, determine nature of business, and announce visitors to appropriate personnel.
  • Communicate with external clients and visitors in a professional, friendly and effective manner.
  • Maintain the reception and coffee area in a tidy and presentable manner.
  • Office supply purchasing.
  • Any other duties as assigned.
