Requirements:

  • High school diploma or equivalent.
  • Minimum of 1 year of experience in office and clerical areas.
  • Minimum of 1 year of experience with multi-line phone systems.
  • Bilingual in Spanish preferred.
  • Ability to type 30 words per minute.
  • Ability to work independently with attention to detail.
  • Ability to prioritize and manage multiple projects simultaneously.
  • Proficiency in Microsoft Office applications.
  • Strong verbal and written communication skills.
  • A valid driver’s license, reliable means of transportation and proof of liability insurance is required
Responsibilities

Hours are Monday-Wednesday: 8:30am-4:30pm

  • Perform receptionist and clerical duties, including answering phone calls and directing visitors.
  • Complete initial phone screening and intake for emergency services and homeless prevention using the homeless management information system.
  • Greet visitors and direct them to the appropriate staff or answer general questions.
  • Sort and route incoming mail, and manage outgoing mail.
  • Record monetary and in-kind donations according to agency policies.
  • Maintain security and safety by controlling front door entry and observing visitor behavior.
  • Notify staff of client emergencies, cancellations, and transfer non-counseling calls.
  • Conduct walk-through rounds to ensure office security and manage office equipment.
  • Supervise and maintain a neat, clean, and quiet reception area.
  • Monitor inventory levels, maintain accurate records, and coordinate the ordering of office supplies to ensure adequate stock and smooth office operations.
  • Other duties as assigned within the guidelines of this position.
