Position Overview: We are seeking a mature and professional Front Desk Administrative Specialist to serve as the first point of contact and a key support member for our office. This role requires a deep understanding of FM service goals and company policies. The ideal candidate will be responsible for delivering exceptional front-line services, managing office resources, and ensuring the smooth day-to-day operation of the reception and meeting areas. Key Responsibilities: 1. Front Desk Operations & Guest Services: - Serve as the primary company representative, providing a professional and welcoming experience for all guests. - Operate the main switchboard, handle incoming calls, and manage the monthly update of the internal telephone directory. - Monitor and uphold high service standards for all front desk-related services, including tea lady coordination. 2. Meeting Room & Facility Management: - Manage the meeting room booking system to ensure efficient scheduling. - Conduct daily check-ups of meeting rooms to ensure they are maintained according to company standards. - Set up meeting room facilities (audio/video equipment, seating) according to user requirements prior to each meeting. - Track and ensure a clean, functional, and professional meeting room environment. - Perform specialized management of the ESP & CPH meeting room systems. 3. Administrative Support & Resource Management: - Manage the stationery application, inventory, and distribution process. - Oversee employee badge (access card) management, including issuance and deactivation. - Process requests for name plate checking and updates. - Provide other front desk support services and coordinate on soft service requests as confirmed by the Hub Lead. - Fulfill other reasonable administrative duties as requested.
