Job Summary: The Administrative Assistant provides comprehensive administrative and office management support to Court Services and Offender Supervision Agency (CSOSA) executive staff and program offices. This position operates with a high degree of independence, manages complex projects requiring research and analysis, and produces professional briefing materials and presentations. The incumbent serves as a critical operational resource, ensuring smooth day-to-day functioning of assigned CSOSA offices. Responsibilities and Duties: Provide high-level administrative support to executive staff and senior program officials, including calendar management, correspondence drafting, and meeting coordination. Work independently on projects requiring research, data gathering, and preparation of briefing charts, slide decks, and other executive-level presentation materials. Manage office operations including document control, filing systems, supply inventory, and facilities coordination. Prepare, edit, and proofread a variety of documents including memoranda, reports, policies, and correspondence on behalf of executive staff. Coordinate and facilitate meetings, conferences, and events including scheduling, logistics, agenda preparation, and minutes documentation. Serve as a primary point of contact for internal and external stakeholders; manage incoming communications and direct inquiries appropriately. Track and follow up on action items, deadlines, and deliverables on behalf of assigned executive or program office. Maintain confidentiality of sensitive agency information including procurement-sensitive, For Official Use Only (FOUO), and Controlled Unclassified Information (CUI). Operate and troubleshoot standard office equipment including multi-line phone systems, copiers, printers, fax machines, and video conferencing tools. Support special projects and perform other related administrative duties as assigned by the COR. Qualifications and Skills: Minimum education requirements: High school diploma or equivalent required; associate's or bachelor's degree preferred. Preference will be given to candidates with familiarity with CSOSA, DOJ, or similar federal agency administrative environments. Demonstrated experience providing administrative support at the executive or senior management level. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams). Strong written and verbal communication skills with the ability to draft professional correspondence independently. Demonstrated ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision. Experience managing calendars, scheduling meetings, and coordinating logistics for senior officials. Familiarity with federal government administrative processes and office protocols preferred.
