ESSENTIAL KNOWLEDGE, SKILLS, EXPERIENCE

  • 2+ years’ experience as receptionist or administrative assistant
  • Exceptional customer service skills and telephone manner, well presented and polite
  • Hard working, punctual, reliable and self- motivated
  • Good knowledge of MS Office Suite, Apple/Mac literate
  • Great at problem solving
  • Pro-active and organised
  • Excellent attention to detail
  • Excellent communicator across all levels of the organisation
  • Ability to work independently
Responsibilities

ROLE OVERVIEW

An exciting opportunity has arisen for a Front of House Receptionist to join the operations team in our flagship London office.
Reporting to the London based Facilities Manager, you will be responsible for ensuring switchboard calls are directed appropriately and guests to our London offices, whether they are clients, staff or contractors, are able to access the building in a seamless and welcoming way.
We are looking for someone who will bring enthusiasm, energy and natural warmth to every client that steps into our office, providing an exceptional service to all aspects of this role, with the desire to strive and go the extra mile. MAIN RESPONSIBILITIES

  • Managing the switchboard and acting as the main point of contact for all incoming calls in a warm, confident and happy manner
  • Providing a friendly greeting to all clients and guests in reception and ensuring they are taken to the correct meeting rooms and made comfortable, providing refreshments as appropriate
  • Managing the daily/weekly meeting room booking system and acting as main point of contact for guest and meeting room organization, Coordinate preparation of all meeting rooms, arranging all meeting room AV/IT as required
  • Liaising with caterers and ordering lunches, providing drinks to all clients and guests to ensure a seamless guest experience
  • Liaising with the PAs and business management to understand requirements ahead of meetings
  • Supporting the Business Development and Executive teams in organizing events held in the office
  • Liaising with third parties such as building management, coordinating arrival of on-site contractors and deliveries, liaising with printer engineers, coordinating confidential waste and shredding services, main point of contact for office plants and other office contracts in place
  • Booking and coordinating couriers and sorting/distributing all company post
  • Hours will be 35 hours per week 9am-5pm, Monday-Friday in the office
