Description:
Are you passionate about creating a welcoming environment and ensuring smooth operations in a dynamic workplace? Join our Berlin-based venture capital firm as a Receptionist and become an integral part of our team. We are looking for a friendly, detail-oriented individual with a background in hospitality (or a related field) to support our team of 30 on-site.
Responsibilities:
As the face of our office, you will ensure that everything operates smoothly, whether we are hosting founders, board meetings, or workshops. Working closely with our second assistant, you will be responsible for creating a polished, professional, and welcoming atmosphere, while providing support to our team and visitors throughout the day.
- Front Office & Visitor Management: Serve as the first point of contact for all visitors, providing a warm and professional welcome. Manage meeting room schedules and prepare spaces for guests, including founders, stakeholders, and board members.
- Office Operations: Ensure that meeting rooms are always equipped and presentable, with all necessary supplies available. Oversee office supplies and equipment to guarantee that the team has everything they need for busy days. Collaborate with our in-house IT expert to address any equipment-related needs.
- Foster strong relationships within the team and create a positive, can-do atmosphere in the office. Support day-to-day office requirements, including catering arrangements and logistical preparations for events and workshops.
- Work alongside our office team (in Berlin and Munich), who manage travel arrangements and events, to provide seamless support for the entire team
- A background in hospitality or a similar client-facing role.
- Previous experience in office or reception management is advantageous.
- Strong organizational and multitasking skills with a keen attention to detail.
- Comfortable communicating in English (essential); proficiency in German is a plus.
- Excellent interpersonal skills and a proactive attitude.

Working Hours: 9:00 AM – 6:00 PM, Monday to Friday.
