POSITION OVERVIEW:

We are looking for an experienced, hands-on Receptionist to join our team to ensure the smooth daily operations of the M Group Office. This role is the first point of contact for visitor, tenants, owners, contractors, and internal stakeholders and supports various department within M Group.

QUALIFICATIONS:

  • 2 – 3 Years of experience in reception or an administrative role.
  • Diploma in Office Administration, Business, or related field.
  • Experience with Microsoft Office (Outlook, Word, Excel)
  • Familiar with office systems and technology (photocopiers, phone systems, POS machines).
  • Strong customer service and interpersonal skills.
  • Excellent organizational and time management skills.
  • Strong attention to detail with the ability to multitask and prioritize.
  • Professional and strong communication skills, both verbal and written.
  • Ability to work independently and collaboratively in a busy environment

REQUIREMENTS:

  • Valid Ontario G-Class Driver’s License with reliable transportation.

Responsibilities
  • Greet and assist all visitors in a professional and welcoming manner.
  • Answer and direct incoming calls and emails promptly for all departments.
  • Coordinate boardroom bookings and office calendars.
  • Receive and process payments (cash, cheque, card via POS).
  • Open, sort, scan, and distribute mail and courier packages; assist with Purolator shipments.
  • Drop off/pick up mail and banking as per schedule, including multiple locations.
  • Assist with company events, training sessions, and quarterly Townhalls.
  • Prepare and send financial statements and year-end tax documentation to owners and shareholders
  • Maintain and order supplies: stationery, coffee, groceries, toner, etc.
  • Add and support new users on Sharp photocopier and Rogers Unison systems
  • Support property data entry including tenant prospect applications and updating property contact information
  • Provide general office support to Property Management, Accounting, and Administration
  • Support in event planning, onboarding new staff, and updating internal contact directories
  • Coordinate recycling efforts (e.g., Staples toner recycling)
  • Maintain a tidy, organized, and welcoming reception area.
