Responsibilities Front Desk Receptionist Responsibilities • First contact for people (employees, couriers, new hires, catering companies) coming into office to provide information • Incoming and outgoing mail (including legal documentation flow/approval and archiving)- biuro.pl@msasafety.com • Incoming and outgoing calls to the front desk area • Keeping and updating a register of access badges for all employees in Warsaw (taking care of the access cards for visitors, guests) • Keeping track and controlling keys to various storages and offices in the building • Onsite role 4-5 days/week Package Delivery/Shipment and Post Coordination • Incoming shipments to employees or other destinations via UPS (working with various departments- HR, Marketing, Sales, Customer Service, etc.) • Outgoing shipments to employees or other destinations via UPS (filling in appropriate documents for the courier company- completion of customs clearance card, proforma invoice) • Receiving letters/post, recording it in the register of incoming letters and forwarding or archiving letters accordingly • Posting of letters, completing the postage book Plan Organization of Office Meetings, Team Meetings and Regional Workshops • Plan organization of regular office meetings, team meetings, and regional workshops • Checking that there is enough water for the meetings, adding water, fruit and snacks • Booking reservations in restaurants or booking catering • Making sure there are appropriate office supplies prepared- pens, notecards, markers Organization of Appointments and Translations • Organize appointments with Notarty for board members • Organize appointments for Managers and Leaders if needed • Organize translations of various documents Technical Building and Cleaning Service Coordination • Coopering with technical building services in employee cases (for example. changing the office temperature, reporting office faults and issues) • Managing the clear desk policy and regular office cleaning with external provider Transport and Hotel Reservations • Booking hotels when needed • Ordering Taxi Qualifications • Very good to fluent English knowledge (written, spoken) • Well Organised and systematic approach to work. • Attention to detail • IT Literate • Ability to transmit confidence in MSA Safety to our customers • Strong communication skills at all levels • Strong Listening and questioning technique • Good telephone/email manner • Previous experience as Receptionist • A desire to personally develop and grow within the business • Flexible approach to work and ability to prioritize • Ability to be in the office in Warsaw 4-5 times/week #LI-RD1 #LI-Onsite
