Role Overview The Receptionist will be the first point of contact for all visitors and employees, providing a welcoming and professional atmosphere at the office. This role involves managing the reception area, handling incoming communications, and supporting administrative tasks to ensure the office runs smoothly. The Receptionist will play a key role in maintaining a positive and organized office environment. Key Responsibilities Front Desk & Guest Management: Greet and welcome visitors in a friendly and professional manner. Direct visitors to the appropriate departments or meeting rooms. Ensure the reception area is always clean and well-maintained. Communication & Correspondence Handle incoming calls, emails, and inquiries, directing them to the appropriate team member. Manage incoming and outgoing mail, packages, and deliveries. Ensure clear and timely communication between departments and external parties. Meeting & Office Coordination Coordinate meeting room bookings and ensure rooms are prepared for meetings. Assist with scheduling meeting logistics, including equipment setup and catering needs. Manage office supplies and coordinate ordering of materials as needed. Administrative & Operational Support Assist with office administrative tasks such as invoice uploads, managing office inventory, and processing supplier payments. Help with minor office maintenance reporting, such as broken furniture or equipment. Support internal events and assist with organizing catering and event setup. Parking & Security Management Monitor and manage the office parking spaces, ensuring proper use and availability. Help with coordinating access for visitors and ensuring security protocols are followed. Key Qualifications & Experience Must-have requirements: Proven experience in a front desk or receptionist role. Strong customer service skills with the ability to interact with visitors and employees professionally. Excellent communication skills, both written and verbal. Strong organizational skills and ability to manage multiple tasks simultaneously. Proficiency in office software (e.g., MS Office, email systems). Fluent in English and Herbrew, both written and verbal. Preferred qualifications: Previous experience in a corporate or B2B environment. Experience with office management systems or software. Familiarity with office security protocols. Competencies & Behavioral Traits Friendly, approachable, and professional demeanor. Strong attention to detail and organizational skills. Proactive and capable of managing multiple tasks in a fast-paced environment. Ability to maintain confidentiality and adhere to office policies.
