Position Overview
We are seeking a highly organized, enthusiastic Receptionist, Office Administrator, & Personal Assistant to join our dynamic healthcare team. This part-time, in-person position is a key role within our close-knit clinic and offers the unique opportunity to support both clinical and front-desk operations.
The ideal candidate will be proactive, detail-oriented, personable, and truly passionate about holistic health and service. You will play an essential part in sustaining the welcoming, family-oriented environment that is at the heart of Wilson Wellness.

Key Responsibilities_ **_

  • Serve as the first point of contact for patients, ensuring a welcoming and positive experience through phone, text, and social media communication.
  • Support the daily flow of the clinic, assisting the owner (an Osteopath) and other practitioners as needed.
  • Set up patients for a variety of holistic treatment modalities.
  • Manage scheduling (Jane App), handle document management (Dropbox, Trello), and support social media outreach.
  • Provide personal assistant support to the clinic owner.
  • Demonstrate strong organization, follow-through, and professionalism in all duties.

Qualifications

  • At least 1 year of experience in a medical, wellness, or customer service role preferred.
  • Professional appearance and high standards of personal hygiene appropriate for a healthcare setting.
  • Proven ability to deliver exceptional customer service in a fast-paced environment.
  • Ability to handle confidential information with discretion.
  • Strong multitasking, organizational, and time management skills.
  • Reliability, punctuality, and consistent follow-through.
  • Excellent attention to detail and ability to follow protocols.
  • Ability to adapt, take initiative, and solve problems independently.
  • Genuine interest in holistic health, wellness, and personal growth.
  • Outstanding communication and interpersonal skills.
  • Friendly, energetic, and enthusiastic team player.
  • Proficiency with MS Word, Excel, iPad/iPhone, and openness to learning new technologies.
  • Experience with or willingness to learn social media platforms and content creation tools (Facebook, Instagram, Canva, CapCut, Meta Business Suite).
  • Alignment with our mission and values, including support for patient choice in healthcare.

Physical Requirements_ **_

  • Ability to stand, sit, and walk for extended periods throughout the shift.
  • Ability to occasionally lift up to 20 lbs.

Schedule_ **_

  • Monday & Wednesday: 2:30 pm – 6:30 pm
  • Tuesday: 8:30 am – 1:30 pm
  • Thursday: 2:30 pm – 6:30 pm
  • Availability on Fridays for approximately 1–2 hours to review and, as necessary, respond to texts and emails (remote).
  • Occasional remote projects as needed.

Compensation_ **_

  • $16–$20 per hour, based on experience, plus weekly performance-based bonuses available after 90 days.
