Description

RECEPTIONIST/OFFICE ADMINISTRATOR

· Be the first point of contact for visitors entering the building, greeting visitors, monitoring access and maintaining security awareness
· Monitor office telephone lines, including screening and directing calls and relaying messages
· Receive, sort and schedule any incoming or outgoing mail, deliveries and couriers
· Schedule and manage appointments, informing co-workers when appointments have arrived
· Monitor and maintain inventory relevant to Reception area and ensure the Reception and Showroom areas are tidy
· Maintain cleanliness and supply stock in the kitchen (making coffee, taking out garbage, etc.)
· Provide general administrative and clerical support (filing)
· Enter purchase orders into computer system
· Generate production routings for purchase orders
· Generate packing slips for completed orders
· Match Accounts Receivable invoices with incoming cheques from customers
· Match Accounts Payable invoices with outgoing purchase orders from Purchasing Department

QUALIFICATIONS:

· Secondary or Post-secondary Certificate or Diploma
· 1-2 years of experience in a Receptionist or Administrative role
· Knowledge of administrative and clerical procedures
· Knowledge of computers and relevant software application
· Knowledge of customer service principles and practices
· Excellent verbal and written communication skills
· Professional personal presentation and demeanor
· Excellent organizational ability and attention to detail
· Willing to take initiative
· Demonstrates reliability and works well under pressure
