Le.la Réceptionniste et assistant.e de bureau contribue au succès de l’entreprise en assurant une gestion fluide des communications, de l’accueil et de la logistique liée aux besoins d’affaires de celle-ci.Elle maintient un environnement de travail propre, organisé et sécuritaire, en coordonnant les services d’entretien, les réservations des différents espaces partagés et en participant aux initiatives de sécurité au travail.Enfin, elle optimise l’efficacité de l’équipe TI en coordonnant l’expédition et la réception des équipements et l’intégration des nouveaux employés.

Responsibilities
  • Ensure a presence in the office between 6:30 a.m. and 2:30 p.m. every day, barring exceptions;
  • Ensure that communication in the office runs smoothly, including:
  • Managing calls and forwarding voicemails;
  • Managing the office management email inbox;
  • Sorting and forwarding mail;
  • Welcoming visitors
  • Communicate with suppliers and the landlord regarding any office issues;
  • Manage deliveries and shipments of computer equipment to employees;
  • Contact employees to arrange for the collection of their equipment, as well as the integration meeting with the IT team on their first day at work;
  • Arrange for the collection of equipment on an employee’s last day.
  • Maintain the cleanliness of the premises and common areas with external suppliers;
  • Order and manage inventory of office supplies, kitchen supplies, coffee, and other special requests;
  • Manage the reservation system for workstations and conference rooms;
  • Enter data related to office management expenses and ensure cost control;
  • Participate in emergency response training led by the building manager and implement best practices in terms of CNESST;
  • Assist the various business units in a variety of tasks.
