Your Role as Office Manager:
As the Office Manager, you will be the first point of welcome for both guests and colleagues. You will create a warm, organised, professional environment, while supporting the smooth daily operation of the office. In this dual role as host and coordinator, you are responsible for reception services, facility liaison, office supply management, and general office upkeep.
Your Key Responsibilities:

Reception & Guest Services:

  • Act as the first point of contact, ensuring a professional and welcoming experience for guests and colleagues • Receive and assist visitors; manage guest registration and hospitality
  • Maintain an organised, clean, and inviting reception area
  • Manage the setup and layout of the reception and adjacent common areas (e.g., clearing cups, refilling milk, general tidiness)

Meeting Room & Event Support:

  • Handle meeting room reservations
  • Ensure rooms are clean, properly arranged, and stocked with necessary supplies (e.g., whiteboard markers, flipcharts) • Coordinate business lunches and refreshments for meetings or events
  • Organise a yearly event, like Sinterklaas for colleagues & family
  • Order staff gifts (e.g. flowers, fruit baskets) for special occasions

Telephone & Communication Handling:

  • Answer and direct incoming phone calls professionally
  • Take accurate messages and follow up as needed
  • Manage general office email inboxes and respond or redirect accordingly
  • Liaise with delivery partners and internal and external follow-up of deliveries

Pantry & Facility Maintenance:

  • Maintain order and cleanliness in all common areas, including pantries
  • Refill supplies (coffee, tea, milk, sugar, sweets, soda, beer, etc.)
  • Coordinate with cleaning services and report issues to Facility

Office & Supply Management:

  • Monitor, manage, and restock all office and kitchen supplies, including:
  • Coffee, tea, sweets, soda, beer, fruit
  • Envelopes, post-its, whiteboard markers, cleaners, printing paper, toner
  • Keep supply areas tidy and organised
  • Act as the main contact for office suppliers and vendors
  • Coordinate deliveries and services from external providers

Qualifications & Skills:

  • Strong organisational and multitasking skills
  • Friendly, service-oriented, and professional communication
  • Proactive mindset and attention to detail
  • Ability to manage calendars, email, and phone systems
  • Comfortable using basic office tools and coordinating logistics
