JOB SUMMARY

As a patient coordinator – Receptionist employee, you will be expected to be able to multi-task duties on reception, speaking with customers, handling enquiries, arranging appointments and more. Customer service is key, along with hard work and an ability to multi-task.
Hours: 37.5, between 7am-7.30pm weekdays, Sat 7.45am-4pm (subject to business needs)
Location: Pall Mall Medical Newton-le-Willows
Reporting to: Reception Manager
Accountable to: Reception Manager

Responsibilities
  • Providing a safe, effective and pleasant experience to patient, consultants and all visitors
  • Handling patient enquiries, patient information and reception duties
  • Managing and sending mail/post and deliveries
  • Covering a wide variety of workloads including administrative support for the other hospital departments
  • Ensuring all clinical standards are consistently achieved
  • Providing a concierge service to patients and clinical staff: meeting and greeting in a polite, friendly and professional manner, ensuring levels of appropriate care and service are given
  • Arranges meetings by scheduling appropriate meeting times, booking rooms, and managing diaries
  • Ensuring invoices are accurately created, sent, received and logged, following protocols carefully and appropriately checking, understanding and correcting anomalies
  • Managing room allocation and ensure rooms and clinic are appropriately stocked and prepared
  • Delivering customer service for all appointments taking place within the hospital – outpatient, imaging, theatre and hospital admin teams.
  • Support the overall needs of the business, working collaboratively across departments and sites.
  • Supporting the relevant bookings team, preparing rooms , liaising with clinicians (GPs, Nurses, Doctors, Radiographers, Consultants. Surgeons, Radiologists), arranging follow up appointments, invoicing, taking payments.
  • Liaising with patients to confirm, amend and book appointments
  • Sharing and collecting information with patients
  • Sending diagnostic images for reporting and distributing completed reports to patients in a timely manner
  • Creating and printing theatre and consultation stickers for clinical use
  • Supporting radiographers and clinical teams to ensure efficient workflow and accurate documentation

  • Registering patients on the secure image transfer system to ensure their scans can be sent for reporting

  • Ensuring the premises and external areas are maintained in an immaculate and welcoming manner

  • Developing and maintaining a sound understanding and knowledge base of all products & services (including pricing), clinical staff (including GPs and consultants) such that patients are fully aware of what Pall Mall Medical can offer
  • Deliver excellent customer service in line with the company ethos
  • Liaise with patients, consultants and clinicians in a professional, competent and knowledgeable manner
