QUALIFICATIONS

  • A minimum of Literacy Level 2 or equivalent.
  • A minimum of Numeracy Level 2 or equivalent.
  • A minimum of ECDL Level 2 or equivalent.

EXPERIENCE

  • Customer Service Experience: Previous experience in a first point of contact customer-facing role.
  • Administrative Experience: Experience with general office tasks, such as data entry, record keeping, and appointment scheduling.
  • Compliance: Fundamental understanding of confidentiality and GDPR regulations.

SKILLS

  • Communication Skills: Self-motivated and confidentappearance with excellent verbal and written communication skills with a professional phone etiquette.

Responsibilities

ROLE SUMMARY

As the first point of contact for visitors, team members, and callers to Parkacre, our receptionist will create a positive and welcoming first impression to promote our organisation and brand. You will manage the front desk, site access, handle inquiries, and perform various administrative tasks to ensure customer satisfaction and is maintained to the highest attainable standards.

KEY RESPONSIBILITIES:

  • Greeting and Directing Visitors: Welcome all guests, providing assistance, and directing them to the appropriate person or department.
  • Answering Phones: Manage incoming calls, taking messages, and transferring calls to the correct team members.
  • Handling Inquiries: Provide information to visitors and callers, answering general questions, and directing complex inquiries to the relevant team members.
  • Managing Appointments and Scheduling: Maintain calendars, scheduling meetings, and coordinating appointments.
  • Administrative Tasks: Perform tasks like photocopying, scanning, filing, and managing correspondence.
  • Maintaining the Reception Area: Ensure the reception area is clean, organised, and well-stocked with necessary supplies.
  • Providing General Support: Assisting with various administrative tasks as detailed by the HR manager, such as booking buffets, ordering supplies, supporting site health and safety requirements, and aiding other departments as needed.
  • Maintaining Security: Monitor visitor access, issuing visitors/contractors passes, and monitoring the security of the reception area.

To succeed in this role, the successful candidate must have the ability work without direct supervision and routinely display exceptional communication skills, adopt a professional demeanour and personality, have concise attention to detail skills, and have a robust determination to excel in customer engagements.
