Receptionist & Patient Management Assistant (m/f/d)

We, the dentists in the Old Hat Factory, are looking for reinforcements for our reception and patient management team with immediate effect.

Our reception area is the central hub of our practice. Patient check-in, telephone calls, appointment scheduling, and coordination with our various treatment departments all come together here. Therefore, we are looking for someone with experience in a professional reception environment who is accustomed to working in a friendly, confident, and organized manner, even when handling multiple requests simultaneously.

Experience working at the reception desk of a doctor's or dentist's office is particularly interesting to us. Completed training as a dental assistant or medical assistant is advantageous, but not mandatory. Applicants from other fields with qualified reception experience and comparable organizational skills are also welcome.

Your tasks

  • Personal welcome and care for our patients
  • Appointments can be made by phone or in person.
  • Coordination and organization of complex treatment appointments
  • Ensuring a structured and smooth process at reception
  • Communication and coordination with patients, therapists and the various practice departments
  • Handling organizational and administrative tasks
  • Maintenance of patient and appointment data in our practice management software
  • Independent handling of tasks arising in the reception area

What you should bring

  • Professional experience in reception, front desk, patient or customer management
  • Ideally, experience in a dental practice, medical practice, or a similar institution.
  • Experience with scheduling and coordinating various processes
  • A friendly, professional and confident demeanor
  • Excellent communication skills – both in person and on the phone
  • Excellent organizational skills and the ability to set priorities.
  • A confident handling of work-intensive situations and multiple parallel tasks
  • Independent, structured and reliable work ethic
  • Confident use of the PC and willingness to learn our practice software
  • Excellent German skills, both spoken and written.
  • Enjoyment of teamwork

A completed apprenticeship as a dental assistant or medical assistant, as well as knowledge of practice management software, is an additional plus.
