KNOWLEDGE, SKILLS, AND ABILITIES

· Demonstrated knowledge and experience in the following areas:
o Previous experience in an administration role.
o Experience in the non-profit sector an asset.
· Demonstrated skills in the following areas:
o Communication – verbal, written, reception, and interpersonal.
o Microsoft Word, Excel, PowerPoint, and various databases.
o Administration, organization, and time management with attention to detail.
· Demonstrated abilities in the following areas:
o Self-motivated and enthusiastic.
o Effectively manage a variety of tasks and be able to adapt to unexpected interruptions and adjustments to priorities throughout the day.
o Work with minimal supervision and contribute to a team environment.

QUALIFICATIONS AND EXPERIENCE

· Office Admin Diploma or equivalent combination of experience and education.
· Two years’ experience in a role that demonstrates the ability to perform the duties required for this position.

Responsibilities

As the Receptionist your day-to-day responsibilities may include, but not limited to:
1. Provide general reception duties for 1860 & 1870 Lorne Street buildings.
· Opening and closing buildings daily.
· Meet and direct all visitors including vendors, clients, and customers.
· Maintaining reception area to always ensure that it is clean and welcoming.
· Answering incoming calls and directing inquiries to the appropriate association/individual.
· Greet visitors, determine nature and purpose of visit, and direct or escort them to specific destinations; Notify association/individual of arrival of visitor.
· Completing bookings and confirmations for boardrooms each week.
· Preparing boardrooms for meetings – consists of tidying, making coffee, ordering food, setting up telephone for conference calls, flip chart paper, etc.
· Completing month end summary of all front desk charges.
· Receiving and sending courier packages.
· Processing incoming and outgoing mailings.
· Sorting and distribution of all incoming faxes.
· Maintaining office equipment – i.e., printer, fax machine, change toner, paper, etc.
· Maintaining and ordering office supplies for 1870 Lorne St, 2205 Victoria Ave and Stadium.
· Maintaining and tracking Sask Sport, and Sask Lotteries beneficiary materials inventory and building access cards.
· Other duties as assigned.
2. Provide general administrative duties
· Special administrative projects including overflow work from other divisions and Executive Assistant, including assisting events, and helping with tasks for strategic projects.
· Inputting data and maintaining databases.
· Creating Word, Excel, Adobe documents as needed.
· Other administrative duties as assigned.
