VACANCY ANNOUNCEMENT ROLE PROFILE TITLE: Receptionist (FOR MYANMAR NATIONAL-INTERNAL STAFF ONLY) TEAM/PROGRAMME: Support Services     LOCATION: Yangon, Head Office Number of Position: 1 GRADE: NAT-5     CONTRACT LENGTH: Fixed Term CHILD SAFEGUARDING: Level 1:  The role holder will not have contact with children and/or young people, or access to personal data about children or young people, as part of their work; therefore a police check will not be mandatory unless the content or location of the role changes, in which case the Child Safeguarding level will be reviewed. ROLE PURPOSE: To assist in administrative functions and manage overall communications and clerical requirements. SCOPE OF ROLE: Reports to:  Support Coordinator Financial Approval: No financial approval External Representation: No regular contact Travel: None KEY AREAS OF ACCOUNTABILITY : •    Act as the first point of contact for all visitors by greeting, welcoming, and directing them appropriately. •    Manage incoming telephone calls by answering, screening, transferring calls, taking messages, and handling general inquiries. •    Ensure the reception area is tidy, professional, and equipped with necessary materials (e.g., forms, brochures, stationery). •    Maintain updated contact lists of relevant stakeholders (SCI offices, INGOs, NGOs, UN agencies, embassies, government offices, and service providers). •    Record and manage incoming and outgoing correspondence (local and international, including payment-related documents). •    Provide accurate and timely information to visitors and staff via phone, email, or in person. •    Maintain office security procedures by monitoring access, managing visitor logs, and ensuring compliance with safety protocols. •    Ensure office hygiene and administrative standards are consistently maintained. •    Support the issuance and tracking of staff items such as ID cards, stamps, and business cards. •    Monitor office supply levels and ensure availability of required materials. •    Maintain and organize administrative files, records, and documentation regularly (update and archive as required). •    Draft and type office letters and documents in both Myanmar and English. •    Arrange refreshments and meals for meetings, workshops, and internal events. •    Manage inventory of office supplies, equipment, and furniture. •    Coordinate sending and receiving documents/parcels through courier services (Royal, MGL, etc.). •    Receive deliveries, verify, and distribute items to relevant staff or departments. •    Support daily administrative operations and perform additional duties as assigned. Travel & Event Support Responsibilities  •    Assist in travel arrangements for staff, including:  o    Booking air tickets (local and international), arranging hotel accommodations and coordinating transport/logistics as required. •    Liaise with travel agents, airlines, and hotels to ensure cost-effective and timely bookings. •    Maintain travel records and support documentation (itineraries, confirmations, etc.). •    Provide partial support in organizing meetings, workshops, and events by:  o    Assisting with venue coordination. o    Supporting logistical arrangements (materials, seating, basic setup). o    Coordinating with vendors for basic event needs. Integrity: •    Honest, encourages openness and transparency; demonstrates highest levels of integrity •    Always acts in the best interests of children QUALIFICATIONS, EXPERIENCE AND SKILLS   •    Bachelor’s degree; additional certification in Microsoft and adobe photoshop required (intermediate level ) is a plus  •    At least 1 year experience in related field  •    Proven work experience as a Receptionist, Front Office Representative, or similar role •    Hands-on experience with office equipment (e.g. fax machines and printers)  •    Professional attitude and appearance  •    Solid written and verbal communication skills  •    Ability to be resourceful and proactive when issues arise  •    Excellent organizational skills  •    Multitasking and time-management skills, with the ability to prioritize tasks  Additional job responsibilities The duties and responsibilities as set out above are not exhaustive and the role holder may be required to carry out additional duties within reasonableness of their level of skills and experience. Child Safeguarding and Counter Fraud responsibilities 1. All types of fraud, bribery, and corruption must be prevented, including where it benefits the organisation (SCI). All managers have the above responsibilities as well as ensuring  •    Their staff are doing the above.  •    That child safeguarding is integrated and given a “voice” in all management processes including recruitment, induction, performance management, team meetings, annual planning processes, field level monitoring, etc. Safeguarding our Staff: The post holder is required to carry out the duties in accordance with the SCI anti-harassment policy. Health and Safety The role holder is required to carry out the duties in accordance with SCI Health and Safety policies and procedures.
