We are a small, charitable care home in Oxford looking for a Receptionist. We are looking for someone who is able to work Monday-Friday, between 5-7 hours a day.
Position: Receptionist
REPORTING TO: CARE HOME DIRECTOR / HEAD OF ADMIN & FINANCE
Overall Objective:
To provide high standards of secretarial and administrative assistance to management and the Home.
The successful candidate will need to have experience carrying out administrative tasks quickly and accurately, with excellent organisational skills and the ability to work to deadlines, to work unsupervised and to prioritise workloads. Good communication skills (both written and verbal) and the ability to deal with a wide range of clients, including patience and understanding of the elderly are essential.
Responsible for a wide variety of tasks including;
- Receptionist Duties
- To assist the Administrator with the administration of the Home.
- To ensure that telephone calls are answered promptly and professionally
- To deal with general enquiries about the Home from potential residents and family (written correspondence, telephone calls and e-mail), distributing brochures and information on the Home, arranging appointments to view the Home and on occasions to show people round the Home - giving information about the services available.
- To answer the Home’s door entry system and greet visitors, to ensure that they sign in and out and assist in maintaining the security of the Home.
- To produce daily menus for the residents
- To photocopy and print out worksheets when needed
- To keep all filing up to date
- To carry out other administrative duties as required.
- General Administration
- To monitor and maintain accurate resident records in accordance with the General Data Protection Regulations
- To maintain confidentiality at all times.
- To create and maintain processes to ensure the above tasks are carried out according to the necessary deadlines.
- To assist in sending out correspondence to residents & their families.
- To assist the Manager and Activities Manager with the organisation of outings for the residents and fundraising events in the Home (for example booking tickets or arranging taxis)
- To update all worksheets for carers, kitchen staff & the Home.
- PA/ Secretarial Support
- To provide administrative/secretarial support to the Administrator and Management team
- Carry out general correspondence and administration.
- To assist with and attend any events out of normal working hours.
- To assist in producing information and reports for CQC inspections.
- To cover additional tasks in the Administrator’s absence where necessary under the instruction of the Head of Admin & Finance.
- General Skills
- Computer literate and proficient in Word, Excel spreadsheets, Access databases, e-mail and Google Drive.
