RECEPTIONIST

In conjunction with the expansion of the rest of the firm, we have an exciting opportunity for a Reception to join our team.
Thorneycroft Solicitors is one of the North West’s leading firms of Solicitors, employing 160 people across all areas of the legal profession. QUALIFICATIONS

IT proficient with good knowledge of systems and the ability to accurately search and interrogate systems to locate information

DEPARTMENT SPECIFIC REQUIREMENTS

  • Answer all telephone calls received into the company within the Company’s agreed SLA’s and timescales.
  • Ensure accurate caller details are taken and passed onto the relevant member of staff in a timely manner.
  • Document messages and ensure these are accurately placed within the business.
  • Process all incoming emails and attachments that are received via the email address and ensure these are correctly distributed to the relevant member of staff.
  • Greet all internal and external visitors in a friendly and polite manner.
  • Ensure all visitors adhere to the firm’s Health and Safety policy
  • Ensure all visitors sign in/out of the building
  • Ensure all visitors are allocated a visitors pass for the duration of their visit.
  • Ensure all visitors to the building are briefed on arrival as to toilet facilities and emergency exits.
  • Ensure a presence is always maintained on reception for queries from members of staff and visitors.
  • Maintain a clear, clean, tidy and welcoming environment in the reception area.
  • Ensure up to date reading material and flowers are visible on reception.
  • Maintain tidy and clean meeting rooms and assist in sourcing alternative meeting rooms as required at busier times.
  • Maintain the diary for the meeting rooms.
  • Liaise with the member of staff booking the room as to refreshment and lunch requirements.
  • Co-ordination of refreshments and lunch as required.
  • Liaise with the member of staff booking the room to enquire whether there are any IT/equipment requirements and book this via IT Requests.
  • Booking of car parking visitor spaces are booked and allocated.
  • Ensure visitors are clearly directed to the Head Office in Macclesfield if arriving by train and not arriving directly at the office.
  • Responsibility to ensure awareness of staff who are located at other sites and where unsure seek clarification.
  • Book taxi’s for visitors using the firms preferred supplier.
  • Direct deliveries to the Post Room.
  • Ensure no visitors to the building are allowed into the private office areas. Only to be chaperoned by a Manager or a manager nominating a member of their team.
  • Ensure compliance with Data Protection and any other compliance requirements in person and on the telephone.
  • Ensure the confidentiality of all firm and client’s documentation and information.
  • To keep up to date with Training as requested by Compliance and/or other members of the management team.
  • To always be mindful of the need to work together to ensure a pleasant working environment for all
  • To have responsibility for own Health and Safety and that of others.
  • The ability to work from any of the Company’s offices as the Company may require from time to time whether on a temporary or permanent basis
  • Undertaking other duties which may be requested from time to time to assist the departments across the business.

  • To be able to adapt to and use any software that the Company may wish you to use for the improvement of services as required
  • Ability to work in a team and communicate clear instructions as required.
  • Excellent IT skills to include the use of Proclaim, Excel, Word.
  • Use of a legal case management system is desirable but not essential.
  • Suggest improvements to services which will contribute to an efficient department and experience for our clients.
