We are seeking a receptionist that can provide exceptional customer service while managing various administrative tasks. This role requires proficiency in office software and strong command of the English language. We need someone personable, outgoing and pleasant.

REQUIREMENTS

  • Proven experience in an office environment; previous legal administrative experience preferred. [Ideally 3+ years of experience.]
  • Strong computer skills with the ability to learn new software quickly.
  • Excellent organizational skills with attention to detail.
  • Effective phone etiquette and strong verbal communication skills.
  • Experience in customer service or customer support roles is highly desirable.

Responsibilities

Administrative Duties:

  • Greet and assist lawyers and staff in a friendly and professional manner.
  • Manage phone calls, directing them to appropriate personnel.
  • Quickly, courteously and efficiently correspond client inquiries by email and phone.
  • Perform data entry tasks accurately, maintaining up-to-date records.
  • Handle filing and organization of documents (scanning, photocopying, filing, and mail sorting, etc.)
  • Assist with bank runs, maintaining and managing invoice payments.
  • Other tasks and responsibilities as given.

Technical Assistance:

  • Tech savvy and be able to assist with basic IT troubleshooting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), videoconferencing software such as Zoom, Webex, and Google Workspace.
  • Maintenance of professional social media accounts.
