Our Brands Vita Group - Vita Student - Union - Uhaus - House of Social - House of Social Food Hall - Dough Religion The Opportunity To support the Office Manager as a part-time Receptionist at our head office, in Alderley Edge. Initially working two days per week on an initial six-month fixed-term contract, with the possibility of the role becoming permanent and the potential to provide additional holiday cover when required. This front-of-house position is highly valued within the business and plays a key role in creating a positive first impression, as well as helping to maintain a welcoming, well-organised and vibrant working environment. Front of House Be the first point of contact for visitors Create a brilliant arrival experience - provide a friendly welcome to all visitors and colleagues. Take pride in the reception and meeting room areas to ensure a tidy and welcoming appearance. Oversee meeting room bookings. Preparation for external meetings inc organising & providing refreshments as required. Direct inbound calls. Organise ad hoc hospitality and travel as required. People Play a central role in smooth day-to-day running of the office, providing a friendly, efficient and professional internal customer service to colleagues in a dynamic environment. Provide excellent customer service to your colleagues, supporting with queries and establishing standards and procedures that remove barriers to being able to work efficiently. Post communications on Vita Group's internal communication platform, Viva Engage. Be responsible for first aid in the workplace. Operational Manage incoming and outgoing post and packages including daily courier drop offs and collections. Audit and log office maintenance issues and liaise with approved third parties to resolve. Manage courier systems, stationery and general office orders and other third-party suppliers as necessary. Purchase office supplies as necessary. Be the primary point of contact for the property’s authorised contractors and assisting when required. Coordinate contractors carrying out planned maintenance work. Fully understand the fire, emergency and health & safety procedures of the workplace. Ensure that all potential and real hazards are taken care of immediately and reported appropriately. The ideal candidate will possess the following list of skills and experience, but most importantly, a positive attitude, fantastic interpersonal skills and an understanding of the importance of this role in creating a great working environment: Professional Experience Previous experience in a front of house/customer facing role. Customer-focused background, with a confident and articulate telephone manner, demonstrating professionalism and clarity in a professional office settings. Proficient in IT and online web-based tools, with intermediate skills in Microsoft 365, particularly Outlook and Excel. Strong prioritisation and organisational skills, and a responsible approach to handling confidential information. Professional experience in adapting quickly and effectively to last-minute changes in plans or policies, while maintaining a proactive and positive attitude. Personal Characteristics A friendly, welcoming disposition and be comfortable and confident in communicating effectively with a wide variety of people and clients.
