About the role
Join us in this exciting Melbourne-based Receptionist role! You’ll provide outstanding customer service and administration to all internal and external stakeholders, focusing on reception and the office environment at 452 Flinders Street and other offices as needed.
Please note: This role is based in our Melbourne office and requires you to be onsite five days a week. We look forward to working together in person!

What you’ll be doing day-to-day

  • Serve as the first point of contact for employees, vendors, suppliers, couriers, contractors, and visitors, managing their access.
  • Assist with office event planning, including catering, and provide executive support such as issuing purchase orders through Pronto and booking travel.
  • Manage access control and security, including issuing access cards, conducting monthly audits, and handling meeting room bookings.
  • Manage the stock and storage areas for stationary, kitchen supplies and ensure stock is kept at appropriate levels
  • Oversee office logistics, including arranging courier and mail pickups/deliveries, managing incoming mail, maintaining stock levels for supplies, and covering for the Office Manager during leave.
  • Prioritize safety, report hazards and injuries promptly, adopt environmentally friendly and safe work practices, and adhere to the company’s Code of Conduct, Values, and behaviors.

Building Management

  • Facilitate any repairs/work that need to be done (i.e. air conditioning, lights, bathrooms, lifts) and effectively provide ongoing updates as to the status as by instruction of Office Manager
  • Liaise with cleaning staff to ensure quality cleaning is maintained as per agreed standards
  • Assist the Office Manager in managing Fire Warden/First aid training and maintenance
  • Maintain a good working relationship with the site Building managers.

Projects

  • Support the National Property Manager and Office Manager by participating in national business improvement and cost reduction initiatives

What you’ll bring to this role

  • 3+ years in a Reception/admin or similar role
  • 2+ years’ experience with Microsoft Office (Outlook, Word, Excel)
  • The ability to prioritize tasks depending on importance
  • Great communication with C-Suite stakeholders
  • Excellent professional presentation and interpersonal skills
  • Demonstrates punctuality, reliability, excellent time management, and attention to detail.
  • Possesses strong written and verbal communication skills, computer literacy, and a common-sense approach to problem-solving.
  • Capable of working well both in a team and autonomously, building effective relationships across cultures, maintaining a positive outlook and high work ethic, and handling matters with confidentiality, tact, and discretion.
