Waltham International College is an alternative provider of higher education (HE) programmes, situated in Barking. WIC (founded in 2010) provides both real-life vocational education and academic study courses for students aged 19+. The college also offers fully funded programmes and apprenticeship programmes. We are looking for SIA SIA-licensed security to support at Reception. This is a weekend position, Saturday and Sunday.
A member of the reception team is often the first point of contact for staff, students and visitors (either in person or on the telephone), and as such is of central importance to the image that WIC presents. The role holder needs to actively engage with the clients, students, programme participants and visitors to deliver the best customer experience. Our reception team is professional, courteous, presentable, friendly, attentive, efficient and pride themselves on excellent customer service.
PURPOSE:
In this role, the Receptionist will be responsible for greeting and directing visitors, answering and transferring calls, coordinating meeting schedules, managing incoming and outgoing correspondence, and assisting with administrative tasks as needed. The successful candidate will have a professional demeanour, exceptional attention to detail, and the ability to multitask in a fast-paced environment.
DUTIES:
· Greet and welcome visitors -First point of contact for students, staff and visitors with queries.
· Maintain Microsoft Excel and Word documents.
· Ensure all queries are appropriately referred and dealt with.
· Ability to work in a team with registry and admissions related tasks.
· Filing and photocopying.
· Support students on a day-to-day basis.
· Ensure all students are appropriately referred to the correct area of the college via directions or provided with e-mail address to contact
· Be aware of class timetables.
· Appropriately signpost any students with personal/pastoral issues.
· Assist where required with student inductions.
· Handling correspondence in person, letters, phone calls and e-mail
· Adhering to college regulations/policies
· Maintaining the college by directing students/visitors to designated areas and monitoring class rooms during breaks
· Manage the car parking area, from assigning bays to managing entry
· Monitor air conditioning, heating and lights reporting any issues to duty manager
· Diary management
· Opening/closing of campus
· Monitoring keys to ensure all are in the right place and returned
· Requesting all students to wear ID cards or identification purposes
