ROLE SUMMARY

As a Lead Receptionist, you will play a key role in the smooth daily operation of the clinic by effectively managing the schedules of our clinicians and ensuring optimal appointment booking. This role requires exceptional organizational skills, attention to detail, and the ability to manage a high volume of appointments while maintaining a calm and professional manner.

KEY RESPONSIBILITIES

  • Manage and coordinate the diaries of all clinicians, hygienists, and treatment coordinators.
  • Ensure efficient booking of appointments to maximize productivity and clinical availability.
  • Reschedule appointments promptly in response to cancellations or clinical changes.
  • Liaise with the front-of-house, treatment coordination, and clinical teams to ensure a seamless patient journey.
  • Proactively monitor schedules for gaps, overlaps, or inefficiencies and take appropriate action.
  • Communicate professionally and empathetically with patients regarding appointment timings, changes, and treatment durations.
  • Maintain accurate and up-to-date records within the practice management system (e.g., Dentally/Software of Excellence).
  • Support the wider admin and reception teams when needed.
