Description:
REPORTS TO: Manager of Records Services
LOCATION: Initial Placement – Burford Administration Office
General Purpose:
- This position is responsible for providing back up to the Manager of Records Services, supporting the M-Files EDRMS project, and assisting the department with general administrative tasks.
Responsibilities / Duties:
- Identify, locate, and prepare material for format conversion.
- File scanning, database maintenance, records destructions, meeting and agenda support, and administrative assistance.
- Co-ordinate activities with outsource provider including shipping arrangements and special instructions.
- Quality check completed scans and film/image shipments.
- Index completed shipments including creation of finding aids and complete data entry.
- Work independently on one’s own as required.
- Employ superior interpersonal skills and tact in relating to other staff members and to the public.
- Respect and follow all rules of confidentiality as required by corporate and legislated policy.
- Provide general reception, telephone, and clerical assistance as required.
- Review and research information requests.
- Export files and documents from records management software and move to EDRMS.
- Carry out other duties as assigned.
Knowledge/Skills Required:
- Equivalent combination of education and experience along with the ability and skill to carry out the position duties as assigned.
- Ability to lift and move records storage containers with an approximate weight of 20 to 35 lbs each is required.
- Proficient with MS Office.
- Some knowledge of meeting procedures/municipal activities.
- Understanding of privacy concepts, legislation, and service standards.
- Experience working with EDRMS software and knowledge of key concepts.
- Ability to work independently and as a team.
- Strong project organization skills.
- Records, database or meeting management software experience preferred.
Education: You must be enrolled in a post-secondary institution, preferably entering 2nd year in the fall in a Business or Public Administration or Records and Information Management program.
Duration: May to August (35 hours/week)
Hourly Rate: $21.88 (2024)
