Description

The Records Management Assistant will be responsible for digitizing municipal records and assisting with the implementation and maintenance of the Municipality of Kincardine’s records and information management program.
Reporting To: Manager of Legislative Services

EDUCATION & EXPERIENCE REQUIREMENTS:

  • Post-secondary education in a related field
  • 1 - 2 years of experience in records management and administration, preferably in a municipal environment
  • Experience with records management software would be considered an asset

REQUIRED KNOWLEDGE, SKILLS & COMPETENCIES:

  • Knowledge of Laserfiche and TOMRMS would be considered an asset
  • Knowledge of the legislative framework affecting records management in municipal government would be considered an asset
  • Knowledge of development services documents would be considered as asset
  • Proficient in Microsoft Office Suite software and familiarity with document management, scanning functions
  • Effective attention to detail and a high degree of accuracy
  • High level of integrity, confidentiality, and accountability
  • Demonstrated ability to be a team player with effective oral, written, and interpersonal communication skills to ensure effective working relationships with employees
  • Ability to work independently and in a team environment
  • Effective time management, proof reading, research, problem-solving, and computer skills

Responsibilities
  1. Assist with the implementation and maintenance of the electronic document and records management system and retention schedule
  2. Assist with the assessment and inventory of corporate records
  3. Prepare records for scanning and digitize large volumes of documents
  4. Assist departments in preparing files for disposal as required
  5. Transfer records and provide data input into the electronic document and records management system
  6. Assist in the development and delivery of records management training
  7. Perform other duties as assigned by the supervisor
