JOB REQUIREMENTS

  • A strong working knowledge of PeopleSoft Student Administration and Lumens systems.
  • Understanding of the difference between credit, non-credit, and credentialed programming.
  • Experience working with a wide range of learners in a fast-paced customer service environment.
  • Familiarity with FOIP legislation and how it applies to student records.
  • Exceptional organizational, communication, and problem-solving skills.
Responsibilities

ABOUT THE ROLE

The Records and Registration Advisor plays a key role in maintaining and supporting the integrity of student records. This position works with a high level of autonomy and responsibility in the areas of student record management, continuing education and Emergency Training Centre (ETC) registration, transcript services, and administrative support.
Working closely with students, business facilitators, advisors, and instructors, this role requires in-depth knowledge of PeopleSoft Campus Solutions and Lumens, exceptional attention to detail, and a commitment to service excellence. The incumbent ensures security and privacy protocols are followed in accordance with FOIP legislation and Lakeland College procedures.

KEY RESPONSIBILITIES

  • Manage student records, including registration, drops/withdrawals, grades, transcript issuance, and program/plan updates.
  • Process and review Continuing Education and ETC course registrations and payments in both PeopleSoft and Lumens.
  • Counsel students and staff on procedures related to registration, academic status, and student rights/responsibilities.
  • Set up new courses and maintain class data, grade rosters, and class lists.
  • Serve as the first point of contact for student inquiries, both in person and over the phone.
  • Assist with switchboard coverage, ID card creation, front desk duties, and data entry.
  • Back-up for general office functions such as cashiering, education verifications, and name changes.
