Records Supervisor The Records Supervisor is a crucial leadership role within the Registrar's Office, responsible for leading the records team and providing support to ensure the accurate and efficient processing and maintenance of student records. The Records Supervisor represents the team by collaborating effectively with other departments, including but not limited to Admissions, Student Accounts, Student Services, Financial Aid, and Academics. Functions include addressing mid-level records issues, supporting the execution of the strategic goals and objectives of the Registrar's Office related to records, and supervising and managing the records team. The Records Supervisor's priority is to ensure that the records team provides the utmost support in managing student records throughout their academic journey. Under the direction of the Registrar, the Records Supervisor proactively identifies the strengths and areas of opportunities within the team, addresses issues based on team members' activities, reviews performance measurements, ensures data accuracy and integrity, and provides resources to support the team. In addition, the Records Supervisor leads the team to support the initiatives directed by the Registrar. The Records Supervisor proactively and enthusiastically contributes to the desired university culture of accuracy, compliance, and supportiveness, and the position provides support to the Registrar's Office with projects, student record support, and records management matters as assigned. Essential Functions Supervise the day-to-day operations and their initiatives to assist the records team Serve as the supervisory bridge between the records team and the Registrar Ensure completion of standard end-of-term processing including, but not limited to, SAP and degree conferral Provide coaching and development to the members of the records team to effectively support their respective areas while staying aligned with the University’s mission and regulatory requirements. Collaborate with other departments (i.e., academics, academic support, admissions, financial aid, etc.) in order to provide proper guidance and directions to the records team and ensure optimal support for accurate and compliant record keeping. Ensure timely and accurate processing and maintenance of student records by the team to maintain data integrity and compliance. Set expectations for senior team members to provide training and support to other members of the records team. Support the records team and other departments to resolve record-related issues and concerns and distribute to appropriate personnel. Review and evaluate areas of opportunities for Records Management, including its policies and procedures, and provide suggestions to the University Registrar to maintain seamless processes for the team. Provide supervisory support for employee-related concerns including: Time cards Onboarding and training Performance evaluations Handles other projects and tasks as needed Qualifications Bachelor's Degree in a relevant field (Master’s degree preferred). At least 2-3 years experience in a records-related role within post-secondary education, including 1 year in a leadership capacity required. Previous experience with Student Information Systems (SIS) preferred.
