POSITION SUMMARY

We are seeking Records Support Services Specialists to provide administrative, technical, and logistical support for the management, digitization, and disposition of real estate and probate records at the BIA Pima Agency. The ideal candidate will work collaboratively with federal employees to ensure that inactive records are handled in full compliance with federal guidelines and archived at the American Indian Records Repository (AIRR).

QUALIFICATIONS

  • Experience in records management, administrative support, or similar work.
  • Familiarity with federal records handling standards is highly desirable (NARA, DOI, AIRR).
  • Strong attention to detail and organizational skills.
  • Ability to lift and move record boxes (FRC standard size).
  • Proficiency with Microsoft Office Suite, especially Excel and Word.
  • Ability to work collaboratively in a government environment and follow strict compliance rules.

Requirements:

  • Monday through Friday | 8:00 AM – 5:00 PM (excluding federal holidays).
  • Occasional weekend or evening work may be required with prior notice.
  • All personnel must pass a federal background investigation.
  • Strict adherence to federal information security, confidentiality, and data handling policies is required.
  • Minimal travel required

Responsibilities
  • Sort, review, and categorize records and non-records for archiving.
  • Apply required labeling using Departmental Records Schedule (DRS-1) and Indian Affairs Records Schedule (IARS) specifications.
  • Prepare records for long-term storage and shipment to AIRR (Lenexa, KS).
  • Digitize permanent records following NARA standards (36 CFR Part 1236 Subpart D & E).
  • Coordinate logistics for shipping, including preparing Federal Records Center (FRC) boxes and shrink-wrapping pallets.
  • Create and maintain detailed inventory logs using Microsoft Word and Excel.
  • Assist in acquiring approval for record destruction from Administrative Officers and OTR Records & Information Management Specialists.
  • Attend and participate in quality assurance meetings with government stakeholders.
  • Follow security protocols and maintain confidentiality of sensitive information.
